A recruiting agency was running on a tangle of point tools — an ATS, a CRM, an outreach tool, and a half-dozen spreadsheets — none of which talked to each other. Every operator spent more time switching contexts than doing the work. The team had stopped questioning the workflow because it had always been this way.
The Approach
- 01Audited the existing stack and mapped where data lived, where it broke, and where the team was working around the tools
- 02Designed a unified agent/chat interface that sits on top of the existing data sources — no migration, no rip-and-replace
- 03Built the agent layer with structured tool use, retrieval over the team's history, and write-back to the source systems
- 04Replaced the ATS as the operator's primary surface; trained the team on the new chat-driven workflow
